We are looking for an experienced and hands-on HR Project Manager to join one of our global shipping clients. Reporting to the Head of HR, he/she will focus on HR project delivery work such as driving HR policy harmonisation, systems optimisation, and process improvements. He/she will act as the HR “PMO” lead to structure, coordinate and deliver HR initiatives across HQ and regional entities, working closely with HRBPs, HR Operations, and internal business stakeholders.
Key responsibilities
1) HR policy harmonisation & post-acquisition integration
- Lead HR policy harmonisation across HQ and acquired/regional entities (e.g., leave, claims, benefits administration guidelines, probation/confirmation, disciplinary, exits).
- Coordinate integration workstreams related to employee lifecycle consistency: onboarding standards, confirmation practices, HR letters/templates, and approval matrices.
- Establish a policy governance framework: version control, approvals, communication rollouts and adoption tracking.
2) HR process improvement & standardisation
- Map and redesign HR processes to support headcount growth: offer-to-onboard, joiner set-up workflows, employee movements, documentation, and separations.
- Build practical SOPs and HR toolkits (checklists, templates, RACI/ownership, approval flows) so HRBPs can execute BAU consistently with less rework.
- Identify bottlenecks (handoffs, approvals, unclear ownership) and implement streamlined workflows and service standards.
3) HR systems optimisation
- Support HRIS and workflow enhancements to improve efficiency and reporting (e.g., onboarding workflow, e-leave/e-claims, employee data governance, org chart accuracy, reporting dashboards).
- Drive requirements gathering, process-to-system translation, UAT coordination, data clean-up, roll-out planning, and end-user training.
- Partner internal IT and vendors to deliver enhancements on time and ensure user adoption.
4) Recruitment surge enablement (process engine, not execution)
- Work with the TA Manager and HR Ops to create scalable frameworks for expansion hiring: onboarding playbooks, pre-boarding controls, documentation workflows, and cross-functional joiner provisioning (HR/IT/admin).
- Improve hiring-related governance support items: standardised employment letter templates, approval pathways, and onboarding readiness tracking.
5) HR governance, controls & compliance readiness
- Develop and maintain HR documentation standards and audit readiness basics: master templates, storage structure, data accuracy checks, access controls (in partnership with HR Ops/IT).
- Support implementation of HR governance items such as Delegation of Authority (DOA) for HR approvals (e.g., hiring approvals, allowances, compensation changes, promotions) aligned to internal controls.
6) Project management, stakeholder coordination & change adoption
- Build project plans with timelines, milestones, dependencies and risk registers; drive stakeholder alignment across HQ and regions.
- Provide structured progress updates to Head of HR; escalate risks early with options and recommendations.
- Drive change management: communications, training, user enablement and adoption follow-ups.
Requirements / experience
- At least 6 years in HR project management / HR transformation / HR operations excellence (in-house preferred).
- Strong project discipline and delivery track record: process mapping, documentation, stakeholder management, implementation.
- Experience working across multiple offices/entities/countries; M&A / integration exposure is a strong advantage.
- Comfortable with HR systems and data (requirements, UAT, reporting, basic dashboards).
- Practical communicator who can translate ambiguity into workable processes, toolkits and timelines.
