We are looking for a proactive and experienced Bunker Operations Assistant for one of our global shipping clients. The role will support the team in administrative duties surrounding the bunkers procurement activities for the Company’s vessels including both time-chartered and spot voyage-chartered vessels. The ideal candidate would have a minimum of 1-2 years of relevant experience, a passion for learning, and will actively contribute to the day-to-day operations of the department.
Responsibilities
- Assist the Bunker team on all general administrative duties involved in bunker procurement from A to Z.
- Follow-up closely with the Bunker team to ensure all documentations are in place prior to bunker deliveries and complete all formalities upon confirmation of bunkers procured.
- Liaise with the Operations team for monitoring of the vessel schedules to plan and arrange timely bunker supply.
- Support the team in creating bunker nominations, surveyors appointments/nominations and making sure all procedures are followed.
- Ensure timely and accurate update of the shipping system relating to all bunkers procurement activities.
- Maintain the existing databases and keep track of bunker price, quality, specifications, and other port limitations, and forward contract arrangements etc.
- Assist the Bunkers team on other administrative duties including sourcing of alternative sources of bunkers and updating of records on bunkers disputes and settlement, where necessary.
- Ensure that invoices are paid timely to suppliers and surveyors based on the agreed commercial terms.
- Ensure that all systems are updated all the time and data easy assessable for statistics and benchmarking.
Requirements
- A diploma/degree in maritime studies or equivalent
- 1 to 2 years working experience in the maritime or relevant bunkering industry.
- Understanding of shipping operations, the types of bunkers and global port requirements.
- An organised individual with strong interpersonal, communication, problem-solving and follow-up skills.
- Competency in MS Office applications, especially Excel and knowledge in shipping systems such as Softmar or IMOS.
- Ability to work independently and handle situations where there are uncertainties
